Privacy Policy

Overview

Manager Suite AI ("we," "us," "our") provides two hosted apps: Manager Suite AI, which helps managers run reviews, 1:1s, onboarding, and day-to-day people management, and Business of One, a personal money and small-business tracker. "The Service" means both apps. This policy explains what information we collect through the Service, how we use it, and the choices you have. Our Terms of Service explain the rules for using the Service.

Information We Collect

Account information — the email address you use to sign in. We sign you in with a link or a one-time code sent to that email, so we do not store a password for you.
Roster & team data — information a manager enters about their team: names, notes, review content, goals, hours and pay figures entered for tracking purposes, and calendar or deadline entries.
Money information in Business of One — what you choose to enter about your pay and how often you are paid, bills, savings, everyday spending plans, money you log in and out, and, if you use the Business section, properties, clients, or sales you track. Your Business of One records are kept separate from your Manager Suite AI records, and one sign-in works for both apps.
Saved copy on your device — Business of One keeps a copy of your data and your choices (language, color, and display mode) in your browser so it opens quickly and keeps working if your connection drops. Clearing your browser data removes that copy.
Subscription information — if you subscribe to a paid plan in Business of One: your plan, whether it is active, the renewal date, and a reference to your Stripe customer record. Your card details are entered on Stripe's payment page; we never see or store them.
Optional security settings — an optional PIN. In Manager Suite AI it adds a second layer of protection to your account. In Business of One it locks the app on that device only; it is a simple lock, not bank-level security, and it is stored on your device.

We do not collect government ID numbers or bank account or routing numbers. Business of One does not connect to your bank or hold or move your money. Payments for a paid plan are processed by Stripe, not by us. Hours, pay, and money figures are entered by you for tracking and recordkeeping only.

How We Use Information

We use the information above to operate the Service: to display your roster, reviews, notes, calendar, and money entries back to you, to calculate totals like annual pay or your pay by month, week, and hour, to show your money map, and to generate view-only sharing links you choose to create. We do not sell your data, and we do not use it for advertising.

AI Features & Your API Key

The Service includes optional AI features: in Manager Suite AI, a general assistant and a chat scoped to one employee's history, and in Business of One, Ask AI, which reads the numbers you have entered to suggest ways to save and earn. These run on an API key you provide yourself, from OpenAI, Anthropic, or Google Gemini. That key is used directly by your session. It is never transmitted to or stored on our servers, and we have no access to the AI provider account behind it. When you use an AI feature, the information needed to answer your request is sent from your device directly to the provider you chose, under that provider's own terms and privacy policy.

Data Security

Every page and request runs over HTTPS. Data stored in our database is encrypted at rest. Access to your account can be further protected with an optional PIN. No method of storage or transmission is 100% secure, but the Service is built so your data stays private by default — visible only to you until you choose to share it. Your Manager Suite AI and Business of One records are kept separate from each other.

Data Sharing & Third Parties

We do not sell or rent your data, and we do not share it with advertisers or data brokers. We use hosting and infrastructure providers solely to operate the Service; they have no independent right to use your data. If you subscribe to a paid plan, Stripe processes your payment and receives the details needed to do that, such as your email address and payment details, under its own privacy policy.

Data Retention & Your Choices

You can request a copy of your data, or request that it be deleted, by contacting us at the address below. We retain data for as long as your account is active, or as needed to provide the Service to you.

Children's Privacy

The Service is intended for adults: managers running a team and people tracking their own money and business. It is not directed to children, and we do not knowingly collect information from children under 13.

Changes to This Policy

If we make material changes to this policy, we'll update the effective date above. Continued use of the Service after a change means you accept the updated policy.
